Creating An Advanced Email Rule.

 

It's easy to become overwhelmed if you receive an abundance of Email. Creating Rules allows you to automate the management of your mailbox by moving specific Email to specific folders. 

 

Moving Email From Specific Addresses To Specific Folders.

  1. Open Microsoft Outlook,
  2. Navigate to an Email from an address you want to automatically move to a specific folder,
  3. Right click the Email,
  4. Select Rules from the context menu, and then "Always Move Messages From: [Sender]" (See MV General Delivery pictured)
  5. A window will open with a list of your Mailbox folders,
  6. Click the New button to create a folder, or select a pre-made folder and click the OK button. 

 

Creating An Advanced Email Rule.

These steps will outline how to move Email were you have been blind carbon copied (BCCed) to a specific folder. 

  1. Open Microsoft Outlook,
  2. From the Home Tab, select Rules, and Manage Rules & Alerts.
  3. Click the New Rule button In the Rules and Alerts Window,

  4. Click the Next > button in the Rules Wizard Window.

  5. Uncheck the "From People or Public Group" check Box on Step 1: Select Condition(s).

  6. At this step your Rules Wizard should have no conditions check boxes, indicating the rule will run for every Email received,

  7. Click the Next > button,

  8. You will receive an error asking if this is correct. Click the Yes button

  9. On the Select Action(s) screen,

  10. at Step 2: "Edit the rule description (click an underlined value)",

  11. and the "move it to the specified folder" line,

  12. click the "specified" link to open the folder select menu. 

  13. A window will open with a list of your Mailbox folders,

  14. Click the New button to create a folder named BCC

  15. Select the BCC folder and click the OK button. 

  16. Back at the Select Actions screen, the link that previously said specified should now read BCC.

  17. Click the Next button.

  18. Note: If you may find it useful, since this Email will no longer show up in your inbox, to check the "display a specific message in the New item Alert window checkbox (scroll down to reveal.). This will pop up a message box on your computer indicating that the rule has been run. 

  19. On the Select exception(s) (if necessary) screen, 

  20. check the "except if my name is in the To or Cc box.

  21. Click the Next > button.

  22. Click the Finish button to save your rule.

 

You now have a folder that is easy to sort through to find Email for which you have been Blind Carbon Copied. This may happen frequently for All Personal and General Delivery Email messages. 

Spam may also show up here. Be sure to right click and select Junk > Block Sender for spam you do not wish to continue receiving.
